Contracts are a great help for incoming guests. It's important to keep guests in the loop about what to expect through contracts that detail property policies, rules, and other items when they confirm their reservations. To send a contract to a guest, you first need to set it up. The steps below will guide you through this process once you've logged in to your BeHome247 account:
1. Navigate to Contracts, and click on the Contract Setup tab.
2. Select Settings.
3. Edit the available fields according to preference and click OK. Some of the most important fields include:
- Contract Name: Type in the name for your contract.
- First Page Letter: Add text that will display for your guest inside the contract's first page.
- Disable Contract: Check this box if you'd like to stop using this contract.
- Hide Booking Details: Disable booking information from displaying on the first page by marking this checkbox.
- Disable for the following Reservation Types: Disable the contract only for a specific reservation type.
- Apply for properties in the following groups: Select the property groups for which you'd like to enable this contract.
- Hide financial information for the following Reservation Types: Select the reservation type for which you'd like to hide this information.
- Sending Policy: Choose between Automatic, Automatic upon full payment, Automatic upon first payment, or Manually.
- Enable reminders: Check this box to send a reminder to the guest to sign the contract.
- Reminder Sending Interval: Select a daily or weekly reminder interval.
4. Select Add Section.
Note: You can add as many sections as needed by clicking Add Section.
5. Type in a Section title (e.g., Rental Agreement, Policies, Pool Rules, or others).
6. Click on the Add (+) button.
7. Include any information related to the title in the text field.
7. Select Rules.
8. Edit the available fields according to preference and click OK. Some of the fields include:
- Disable Section: Check this box to disable the section from the contract.
- Hide Title: Check this box to ensure the title section won't display in the contract.
- Show only for properties in the following groups: Select the property group for which you'd like this section to show up.
- Show only for the following properties: Select if you'd like the section to show up for specific properties.
- Show only for the following reservation types: Choose which reservation types should see this contract section.
- Stay Length Indicators: Use this feature to send specific contract settings to long-term guests only.
9. Click Save on the top right-hand corner once your sections are ready.
