Property Groups Overview

Property Groups serve multiple purposes in the system. They are used to tag property information, set property visibility for users, assign content to specific properties in the message center and guest tools, and set up notifications. This tutorial will review the following:

  1. Creating Property Groups
  2. Adding Users to Property Groups
  3. Enabling Notifications
  4. Adding Properties to Property Groups

Creating Property Groups:

1. Log into the BeHome247 platform. 

2. Click on Settings in the left-hand navigation bar, and select the Property Groups tab.

Adding Properties to Property Groups

Click on the Settings button next to the newly created property group.

5. Use the User Access Level search bar to find the user you'll assign to this property group.

Note: Please keep in mind that the user you're adding to the property group must already be created in the BeHome247 platform. 

6. Once you find the user, click on the Add button.

Enabling Notifications

Navigate to the Notifications tab and click on the notification you're interested in assigning to the user. 

Click notification type property group Check the box next to the user to ensure they receive the notification about the selected item.

Best Practices for Setting Notifications:

Prioritize Critical Alerts: Focus on enabling notifications for events that require immediate action, such as:
    • Thermostat out of range
    • Water leak detected
    • New guest message
    • Emergency pin code entered
  • Set Up Distribution Lists: Ensure notifications aren’t missed when a user is off by setting up distribution lists.

Note: If you wish to delete a property group, simply click on the Delete button next to the group. 


Adding Properties to Property Groups

Once the group is set up, you can add properties:

  1. From the Property List screen, search for the property.
  2. Select the property.

  3. Choose Action > Add to Group.

Frequently Asked Questions (FAQs)

Who receives notifications in the system?
  • Notifications are fully customizable within the property group. First, add the user to the group, then select the relevant notifications for them.
What notifications are automatic?
  • When a cleaner, inspector, or maintenance tech has an open assignment, they automatically receive updates for that day’s property. 
    For example:
    • When a cleaner marks a task as finished, it automatically triggers a notification to the inspector.
    • If a guest is waiting, an alert is sent to everyone assigned to a task.
How can I tell which groups my property belongs to?
  • There’s a tag icon at the top of the property list. Selecting this icon will update the screen to display the group names associated with the property.
What is the purpose of the All group?
  • The system requires users to be matched with a property in a group for security reasons. A user's role determines their dashboard, while their access setting controls what they can do at the property level. The "All" group is for convenience, giving a user the same access across all properties.
Do groups assign automatically?
  • No, groups are not set automatically. They are configured during the property onboarding process. Property groups are tailored to the specific operation and can vary between property managers.
